Terms of Service

In short

QuoteX is software that helps cleaning businesses quote, schedule, and get paid. We're not a party to the cleaning job itself, we never hold your money, cancelling stops future billing but doesn't refund the current period, and nothing here overrides your rights under Australian Consumer Law.

1. Who we are

QuoteX is operated by Roundbox Investments Pty Ltd (ACN 676 425 899, ABN 60 676 425 899), an Australian company. In these terms, "QuoteX", "we", "us" and "our" refer to Roundbox Investments Pty Ltd trading as QuoteX.

"You" and "your" refer to the cleaning business (sole trader, partnership, or company) that creates a QuoteX account. Where these terms address the people who receive quotes from a cleaning business through QuoteX, we call them "your client" or "the client".

By creating a QuoteX account, or by using the platform in any way, you agree to these Terms of Service. If you don't agree, don't use QuoteX.

2. What QuoteX is (and isn't)

QuoteX is a software platform that helps cleaning businesses turn client photos into priced quotes, manage scheduling and approvals, and facilitate payment. QuoteX is not a cleaning company, does not employ or supervise cleaners, does not perform any cleaning work, and is not a party to the cleaning service agreement formed between you and your client.

Every quote, job, and completion sign-off generated through QuoteX is issued under your business name — not QuoteX's. Responsibility for the quality, safety, and completion of the cleaning service is yours alone.

3. Accounts and eligibility

You must be at least 18 years old and authorised to bind the business you're registering to use QuoteX. You're responsible for keeping your account credentials secure and for all activity that happens under your account. Tell us immediately if you suspect unauthorised access.

You agree to provide accurate information when registering — including your business name, contact details, and (where provided) ABN — and to keep it up to date.

4. Free trial

New accounts may be eligible for a free trial of 10 quotes. The trial ends once you've used your 10th quote. No card is required to start a trial and nothing is charged automatically at the end of it; once the trial ends, new quote requests keep arriving but you won't be able to open them until you choose a paid plan.

Trial access is offered subject to capacity at the time you register and is not guaranteed for every new account. We may change or withdraw the trial offer at any time without notice, without affecting accounts already on a paid plan.

5. Subscription plans and billing

QuoteX is offered on three paid plans, billed monthly in advance in Australian Dollars (AUD) via Stripe:

PlanMonthly feeQuotes includedOverage rate
Starter$29/month25$2.00 per extra quote
Crew$79/month100$1.50 per extra quote
Business$179/month300$1.00 per extra quote

There's no hard cap on quotes — if you use more than your plan's monthly allowance, the extra quotes are billed automatically as a line item on your next invoice at your plan's overage rate. You don't need to do anything to enable this; it applies automatically once you exceed your included quota for the billing period.

Your quote usage resets at the start of each billing period. You can change plans at any time from your account settings; upgrades apply immediately, and downgrades take effect from your next billing period.

Prices shown are our current pricing and may change with notice, applying from your next billing cycle at the earliest. Whether these fees are GST-inclusive is confirmed separately in your invoice from Stripe; contact us if you need clarification for your own accounting.

6. Cancellation policy

You can cancel your QuoteX subscription at any time from your account's billing settings. Here's exactly what happens:

If you cancel by mistake or change your mind, you can generally resubscribe at any time, but this restarts you as a new subscription — it does not reverse a cancellation already in effect or refund a period that has already ended.

7. Client payments and Stripe

QuoteX uses Stripe, a third-party payment processor, in two separate ways:

  1. Your QuoteX subscription is billed to the card you provide, charged directly by Stripe on our behalf, as described in Sections 5 and 6.
  2. Payments from your clients for cleaning jobs are handled through Stripe Connect. When a client saves a card to pay you, that payment method — and any resulting charge — is processed directly on your own connected Stripe account, not QuoteX's. QuoteX never receives, holds, or has access to your clients' payment funds at any point; they are charged directly to your Stripe account by Stripe, and settle to your nominated bank account on Stripe's normal payout schedule. QuoteX does not take a cut of these payments beyond your regular subscription fee.

Where you use QuoteX's saved-card payment feature for a client job, the following applies:

Card authorisation. By saving a card on a job, your client authorises you (the cleaning business named on the quote) to charge the confirmed quote total — plus any variations they've separately approved — to that card, subject to the conditions below. No charge is made when a card is saved.

When a charge happens. For card-paying clients, the charge is made automatically and immediately when you submit completion photos for the job — there is no waiting period and no separate client approval step before a card is charged. Your client receives an email once the job is charged, with a link to view the completion photos and their receipt. For clients paying by cash, no charge is ever processed by QuoteX; instead, your client marks the job approved through their review link once you mark it complete, and payment is arranged directly between you and them.

Disputes after a charge. Your client can raise a dispute about a job at any time after it's marked complete — including after a card charge has already been made — using the option in their review link. Raising a dispute does not automatically reverse, block, or refund a charge; it notifies you so the two of you can resolve it directly. QuoteX facilitates the submission of these disputes but does not mediate, adjudicate, or resolve them, and does not process refunds — any refund is at your discretion and must be issued by you through your own Stripe account (see Section 8).

Card storage and release. Card details are stored securely by Stripe and are never accessible to QuoteX or to you in unmasked form — QuoteX stores only a tokenised reference, the card brand, and the last four digits for display. For one-off jobs, if you never submit completion photos, the client's saved card details are automatically removed 7 days after the scheduled clean date and the booking is marked abandoned — no charge is made in this case. Recurring (weekly or fortnightly) bookings are exempt from this 7-day release; card details are retained for the duration of the series and the authorisation above extends to each job in it until the client or you cancels it.

8. Disputes between you and your client

QuoteX is a software platform that connects cleaning businesses with their clients — we are not a party to the cleaning service contract formed between you and your client, and we do not guarantee, supervise, or take responsibility for the outcome of that contract. Any dispute about the quality, scope, pricing, scheduling, or completion of a cleaning job — including disagreements over extra charges or job approvals — is a matter between you and your client to resolve directly. QuoteX does not mediate, arbitrate, or otherwise intervene in these disputes, and taking on that role is explicitly outside what we do.

9. Acceptable use

You agree not to use QuoteX to: break any law; misrepresent your identity, business, or qualifications; upload content you don't have the right to use; attempt to interfere with or gain unauthorised access to the platform or other accounts; or use the platform to charge clients for services you have no genuine intention of performing.

We may suspend or terminate accounts that breach these terms, engage in fraud, or pose a risk to QuoteX, other users, or their clients.

10. Intellectual property

You retain ownership of the raw content you upload to QuoteX, including client photos and your own business branding. QuoteX and its underlying software, design, pricing engine, and branding — including the format, structure, and calculations behind any quote, job record, or document generated using the platform — are owned by Roundbox Investments Pty Ltd and protected by applicable intellectual property laws. You grant QuoteX a broad, royalty-free licence to use, store, process, and reproduce your uploaded content and the records generated from it, for the purposes of operating the platform, providing the service to you, and improving QuoteX — including using de-identified or aggregated data for that purpose.

11. Disclaimers and liability

QuoteX is provided "as is". While we work to keep the platform reliable and our AI-generated price suggestions useful, we don't guarantee the platform will be uninterrupted, error-free, or that any AI-suggested price will be accurate — you're always responsible for reviewing and confirming every quote before it's sent to a client.

To the maximum extent permitted by law, QuoteX excludes all liability for indirect, incidental, or consequential loss arising from your use of the platform, and our total liability for any claim relating to the service is limited to the fees you paid us in the 3 months before the claim arose. Nothing in this section limits any liability that cannot lawfully be excluded, including under the Australian Consumer Law — see Section 12.

12. Australian Consumer Law

Nothing in these Terms excludes, restricts, or modifies any consumer guarantee, right, or remedy conferred on you by the Australian Consumer Law, or any other applicable law, that cannot lawfully be excluded, restricted, or modified. Where our liability for breach of a guarantee under the Australian Consumer Law cannot be excluded but can be limited, our liability is limited to the extent permitted by law.

13. Governing law and disputes with us

These terms are governed by the laws of New South Wales, Australia. Any dispute between you and QuoteX that can't be resolved informally is subject to the exclusive jurisdiction of the courts of New South Wales — we don't require private arbitration. Depending on the nature of a dispute, the Australian Competition and Consumer Commission (ACCC) oversees compliance with Australian Consumer Law, and the Australian Securities and Investments Commission (ASIC) oversees corporate and financial conduct; either may be a relevant avenue alongside the courts.

This section governs disputes between you and QuoteX about the platform itself. It does not apply to disputes between you and your client about a cleaning job — see Section 8.

14. Changes to these terms

We may update these terms from time to time — for example, to reflect changes to pricing, features, or the law. We'll post the updated terms here with a new "last updated" date, and where a change is material we'll make reasonable efforts to notify active subscribers by email before it takes effect. Continuing to use QuoteX after a change takes effect means you accept the updated terms.
